Features of a formal letter
Formal letters are also called official or business letters. They are written to people in their official position. They are people we do not know personally, e.g.; Local government chairman, commissioners, principal of your school, managers of organizations, etc.
The three main paragraphs of the body of the letter are – introduction, main content, and the conclusion. Introduction: It is the introductory paragraph of the letter. It must be brief and gives a quick idea to the reader about the concerning matter.
In formal letter-writing, it's better to be more traditional. Most formal letters start with 'Dear', followed by the name of the recipient. Sometimes, this might be their title, followed by their surname, (e.g. Dear Miss Brown) but it could also be their full name (e.g. Dear Anne Brown).
This includes the receiver's address, date, subject stating the reason for leave, salutation, body of the letter explaining the purpose of your letter, complimentary closing and signature. All these components have to be aligned to your left-hand side margin.
The first paragraph should state the purpose of the letter so that the reader knows what to expect. You can use phrases like: I am writing to inquire about …/thank you for …/apply for the position of …/complain about …/request …
When you're addressing your formal letter, start with your address, then the date, the recipient's address (also known as the inside address), and your salutation.
In the closing paragraph of a formal letter, state what you would like the recipient to do, make a reference to a future event, or offer to help... EXAMPLE: If you require/Should you need further information, please do not hesitate to contact me/feel free to contact me.
Write a letter to the Principal of your school requesting additional library facilities. Write a letter to the Municipal Commissioner, highlighting the issue of improper waste disposal in your locality and suggesting solutions.
Formal writing is usually not addressed to an individual, but if it is, then you would use you. You would not use “you” to mean “people in general,” in most formal circ*mstances.
To begin writing this type of letter, you might explain the situation or circ*mstance and any contributing factors. Consider including information to answer questions like: What happened? How did it happen?
